How does Microsoft attract and retain customers? It combines familiar products, several routes to market and services that become part of customers’ everyday work. Retention depends on continued usefulness, integration and the effort involved in changing supplier. Existing relationships also create opportunities to sell additional services.
For an SME, the useful question is practical: after winning a customer, how do you make the first purchase successful, the next purchase easier and the ongoing relationship worth paying for?
This article examines the commercial model behind Microsoft, then translates it into actions for enquiries, onboarding, billing and aftercare. It is independent analysis, not a claim that every customer is satisfied or that every business should adopt subscriptions.
Microsoft’s Customer Strategy at a Glance

How Does Microsoft Attract Customers?
1. Familiar Products Make the First Step Easier
People who already know Word, Excel or Outlook do not encounter an entirely unfamiliar brand when considering another service from Microsoft. Existing use creates opportunities to introduce further capabilities.
Try this: Describe your next service using a problem customers already recognise. A customer buying equipment may understand a setup service more readily than a vaguely described “premium solution”. Make the benefit, price and boundaries clear.
2. Multiple Channels Reach Different Buyers
The 2025 annual report describes direct selling, distributors, resellers and original equipment manufacturers among the company’s routes to market. Its portfolio spans productivity, cloud services, business applications and consumer products.
These channels perform different jobs. A buyer may discover a product through marketing, assess it through online information and purchase through a partner that also helps with implementation. Distribution and support can therefore reinforce one another.
Try this: Review your last ten enquiries. Record where each came from, what the customer needed and whether it became a profitable order. A channel producing fewer enquiries may still produce better customers.
3. An Initial Purchase Can Lead to a Wider Relationship
A customer can begin with one service and later consider related products. That creates opportunities for Microsoft to grow accounts through additional requirements, rather than relying entirely on new buyers.
Try this: Identify one genuinely useful follow-on service. Offer it after confirming that the first purchase worked. Selling more before resolving an existing problem can weaken trust.
How Does Microsoft Retain Customers?
Everyday Use and Integration
When documents, communication and business processes depend on a technology environment, changing it becomes a substantial decision. Familiarity and connections between tools can provide value, while migration and retraining create costs.
That distinction matters. Continued purchasing does not automatically prove enthusiasm. Customers may renew because a service works well, because alternatives are difficult to implement, or both. This is our interpretation of the business model, not a measured company-wide retention rate.
For SMEs: Retain customers through accurate work, helpful records and dependable support. Make repeat orders easy without making it unnecessarily difficult to leave.
Continued Value Supports Renewal
Subscriptions create a continuing commercial relationship, but a recurring charge needs recurring value. Updates, support and useful capabilities can give customers reasons to keep buying.
For a smaller business, that might mean maintenance, scheduled reviews or replenishment. It should solve a recurring customer need rather than simply change how the supplier collects money.

Blueringed’s takeaway: Introduce an improvement where customers already experience a problem. An easier reorder process or clearer delivery update may be more valuable than an additional feature nobody asked for.

What Does the Revenue Model Tell Us?
In its financial year ended 30 June 2025, Microsoft reported revenue of $281.7 billion, up 15%. These are historical FY2025 figures, not a claim about its latest reporting period.
Its model includes subscriptions, consumption-based cloud services and other revenue streams. Those arrangements have different commercial implications: a subscription may provide a predictable charge, while consumption-based bills vary with usage.
Neither revenue growth nor a recurring contract tells us how quickly invoices turn into cash. For SMEs, the useful distinction is between an order, recognised revenue, a bill and money received. They may occur at different times.
Order to Cash Lessons for SMEs
Order to Cash covers the process from accepting an order through to receiving and recording payment. Acquisition and retention form the wider customer lifecycle around it.
Make the Order Unambiguous
Record what is included, who is buying, the price, delivery expectations and payment terms. For recurring work, also explain renewal and cancellation arrangements. A sale is harder to fulfil and bill accurately when these details are left to interpretation.
Confirm Delivery or Activation
Make sure customers receive what was promised and know how to use it. For a service, agree what completion looks like. Unclear acceptance can create disputes even when substantial work has been done.
Make Billing Understandable
Explain fixed and variable charges before the customer commits. Check the billing contact, purchase-order requirements and invoice submission route early. A customer who wants to pay can still be delayed by missing paperwork or conflicting instructions.
Connect Aftercare to the Next Order
Ask whether the first purchase achieved its purpose. Resolve outstanding issues before introducing another offer. Keep a clear record so the customer does not have to explain everything again.
How Can You Measure Customer Retention?
Choose measures that match your business model, use consistent periods and compare similar customer groups. These are suggested SME measures, not published Microsoft results.
- Repeat purchase rate: the proportion of a defined customer group that buys again within a suitable period.
- Renewal rate: renewed contracts divided by contracts eligible for renewal during that period.
- Time to first value: how long it takes a new customer to receive the useful outcome you promised.
- Invoice dispute rate: invoices disputed divided by invoices issued, with reasons recorded.
- Debtor days: monitor collection speed alongside overdue balances and agreed terms.
Measure commercial quality as well as volume. Repeat orders with poor margins, frequent disputes or late payment may be less valuable than they first appear. Our debtor-days calculator estimates the cash impact of collecting sooner; cash released is not additional profit.

How Does This Compare With Apple?
One useful comparison is between everyday workplace dependence and a connected consumer experience. Both can support continuing relationships, but they do not operate identically. Read our Apple customer acquisition and retention analysis for the contrasting perspective.
See Your Business Through a Customer’s Eyes
The practical lesson is to make the relationship work beyond the initial sale. A clear order, reliable delivery and understandable payment process help customers decide whether to buy again.
What Would an Independent Customer Notice?
Blueringed’s £199 Customer Journey Audit follows an agreed buying journey as a genuine customer and records practical, evidence-led observations. See one fictional example of how an observation becomes a finding and recommended action.

The sample is fictional, not a client result. The £199 fee covers the audit work. Purchases, tax, delivery and other transaction costs are agreed and funded separately. Internal process diagnosis and implementation require separately scoped advisory support.
