Why disputes need their own workflow
A disputed invoice is different from an undisputed overdue debt. More reminders will not fix a missing PO, price variance, delivery shortage or unapproved scope change. Treating every query as “credit control” hides operational causes and can damage the customer relationship.

How AI can help
AI can classify incoming queries, extract the claimed reason and amount, assemble related documents, summarise the timeline and recommend an owner. It can detect duplicate claims, identify recurring root causes and draft a factual response using approved evidence.
Commercial judgement remains human. AI should not approve credits, concessions or write-offs beyond explicit rules. Evidence must be accessible, personal data controlled and recommendations explainable.
KPIs that expose leakage
Track dispute value and count, average resolution time, ageing, first-contact resolution, valid versus invalid claims, credit-note value, recovery rate and recurrence by root cause. Link trends back to order processing, fulfilment and invoicing.

What is the difference between a dispute and a deduction?
A dispute challenges an invoice or obligation. A deduction is an amount withheld from payment, sometimes because of a dispute, rebate, return or shortage.
Should disputed invoices remain in credit control?
They should remain visible in AR, but the operational issue needs a named resolver and target date rather than repeated collection contact.
How to build a dispute process that improves O2C
Begin with a single intake route and a small, useful reason-code list. Too many codes create inconsistent reporting; too few hide the cause. Require the disputed amount, invoice, customer explanation and available evidence at capture. Start the resolution clock when the query is received, not when finance eventually finds the right colleague.
Set ownership by cause and value. Operations may own delivery shortages, sales may own unapproved price differences, and finance may own tax or posting errors. Give each category a response target and an escalation route. Where part of an invoice is undisputed, agree how that value will continue towards payment.
Review closed disputes regularly. Quantify credits, write-offs, staff effort and delayed cash by root cause, then assign preventive actions upstream. A fast credit note may close a case but still conceal margin leakage. Sustainable performance means resolving valid customer concerns promptly, defending valid charges with evidence and removing the process failure that created the query.
