Validate commercial data
Check product or service codes, descriptions, quantities, prices, discounts, tax treatment, currency, payment terms and the quotation or contract reference.
Verify customer requirements
Confirm purchase-order numbers, delivery instructions, requested dates, supporting documents, billing milestones and customer-specific portal rules.
Resolve exceptions
Route price differences, unavailable stock, credit holds and non-standard terms to a named owner. Keep the order visible while an exception is being resolved.
Acknowledge the order
Send a clear confirmation stating the accepted scope, price, delivery commitment and any variation from the customer’s request. This creates a shared record.
Release and monitor
Release only validated orders to fulfilment, retain an audit trail and track amendments through controlled versioning rather than informal email chains.
